NDIS Provider Portal Update: Master myID and RAM in 7 Steps
As an NDIS provider, your portals are the backbone of daily operations. From managing service bookings to submitting payment claims and enrolling SDA dwellings, the right portal access ensures your business runs smoothly.
The National Disability Insurance Agency (NDIA) is transitioning providers away from Provider Digital Access (PRODA) logins to the new myID and Relationship Authorisation Manager (RAM) system. This means that the way you and your staff log in to the provider portals will change permanently, with PRODA access scheduled to be removed in late 2025.
Now is the time to prepare. Whether you’re updating your building profile, using the NDIS application portal to start your registration journey, or refining your existing systems, mastering myID and RAM ensures you stay compliant and efficient.
What Changed for NDIS Portals for Providers
The NDIS provider access system has evolved: PRODA is being replaced with myID and RAM, finalising around late 2025.
Providers can begin the switch, with the transition launched from 11th August 2025. NDIS strongly recommends moving early to maintain uninterrupted portal access.

NDIS Portals Explained: What to Use and When
myplace Provider Portal
This is your daily workhorse. Registered providers use the myplace provider portal to:
Submit payment requests to participants,
View and manage service agreements,
Check registration details,
Instantly message participants
My NDIS Provider Portal
The my NDIS provider portal works alongside myplace, but with new functionality. For example, Specialist Disability Accommodation (SDA) providers use it to complete end-to-end dwelling enrolments. You can create, modify, cancel applications, action requests for information, and view enrolled dwellings.
It also uses the new myID and RAM login pathway, so it’s an important part of your digital transition.
NDIS Application Portal
The NDIS application portal belongs to the NDIS Commission. This is where you register with NDIS initially. While separate, it ties closely to the above portals: once registered, you'll use your portals to manage services, claims, and relationships.
7-Step Setup to Access Portals with myID and RAM
Set up myID
Download the myID app on your smart device and create your Digital ID. You need identity strength of at least Standard to access portals, and Strong if you will link the business in RAM as the principal authority. Use a personal email you can always access.
Link your ABN in RAM
The principal authority links the business to their Digital ID in RAM, then authorises others. This requires Strong identity strength and matching ATO/ABR details.
Create staff authorisations in RAM
Authorise each staff member for the service “NDIS – Provider Portal” under National Disability Insurance Agency. Each person must use their own myID; shared credentials are not allowed.Accept the RAM invitation
Staff receive a code by email and must accept within 7 days for access to activate.Use Portal sign in on ndis.gov.au
Choose Provider portals, then Continue with Digital ID and select myID. If you act for multiple providers, select the correct ABN on the RAM screen before the portals landing page loads.Open the right portal tile
From the landing page, select myplace for claims and service bookings, or my NDIS provider portal for SDA workflows.Know the transition rule
Once an employee uses myID and RAM to access NDIS portals on behalf of an organisation, they cannot use PRODA for that organisation’s portal access.
Important: Every staff member must have their own myID login. Shared logins are not permitted.
Building Profile for Success in myplace
Once you're live, it's time to build profile for visibility and efficiency:
Provider Finder visibility: Choose whether your organisation appears in Provider Finder, and whether your address is displayed
Notification settings: Decide how often the NDIA notifies you about service booking or quotation changes (immediately, daily, weekly, or never). Requests for Service are always sent immediately
Roles and contacts: The first linked staff member becomes the Primary Contact and Account Manager. They receive SMS alerts when bank details change and can manage staff contacts and bank details.
Create Your 14-Day Action Plan
Transitioning to myID and RAM doesn’t have to be overwhelming. By breaking it into manageable steps, you can move your organisation from setup to full readiness in just two weeks. This action plan is designed to guide you through the process. By the end of 14 days, your organisation will not only have secure portal access but also be fully prepared to maximise efficiency and compliance.
Week 1:
Day 1–3: Set up myID (Standard/Strong), download app, verify identity.
Day 4–6: Principal authority links business in RAM; assign roles and authorisations.
Day 7: Staff accept their authorisations and test portal access.
Week 2:
Day 8–10: Configure organisation profile and Provider Finder visibility.
Day 11–12: Train your team on new login flows and portal navigation.
Day 13: Run an internal access drill. Confirm all staff access the ndis provider portal tools.
Day 14: Review and finalise notification settings and internal documentation.
Stay Compliant, Stay Ahead
For every NDIS provider, digital access is the gateway to compliance, claims, and participant trust. The move to myID and RAM isn’t optional, it’s essential. By following the 7-step setup and 14-day action plan, you’ll not only stay compliant but also strengthen your systems for long-term efficiency. Taking early action means fewer headaches, better security, and uninterrupted services for participants.

FAQs on Access changes in NDIS provider portals
1. Do I still need PRODA?
New providers and new staff cannot register a new PRODA account to access NDIS portals. Transition to myID and RAM now so you are ready before PRODA access is removed in late 2025.
2. After switching to myID/RAM for NDIS, is my PRODA still usable elsewhere?
Yes. Your PRODA account can still be used for other (non-NDIS) services even after you move to myID/RAM for NDIS portals.
3. Can new staff or new providers still create a PRODA account for NDIS portal access?
No. New providers and new employees must use myID and RAM; new PRODA registrations for NDIS portal access aren’t allowed.
